AI for small & medium business — Australia, New Zealand & worldwide

Cut the admin.
Keep the margin.

Working AI in your business in 28 days — built by a bloke who spent 20 years running businesses like yours, not selling software to them. Fixed quote before we start. A real person on the phone the whole way.

20+years running businesses

The situation

You're not behind.
But the clock is running.

"Admin eats my evenings."

Quotes, invoices, reports, compliance — the work that pays gets done between 7pm and midnight, and it's costing you the reason you started.

"I miss calls while I'm working."

Every unanswered ring is a job that went to the next business that picked up. Nights, weekends, on the tools — the phone doesn't care.

"I don't have tech staff."

You shouldn't need them. Two-thirds of Aussie SMEs say the expertise gap is what's stopping them — so I build it, install it, train your team, and support it.

"I can't afford a wrong bet."

Fair. That's why it's one problem first, a fixed quote in writing, and a working version in your hands at day 21 — not a six-month "transformation".

I'm not an agency. I've run NDIS, aged care, trades and labour-hire businesses — I built these tools for my own companies first.

How it works

Any business. Any industry.
Delivered in 28 days.

01Day 0

The 15-minute call

You tell me where the hours go. I tell you straight whether AI can fix it — and if it can't, I'll say so and save us both the time.

02Week 1

Gap analysis

I map where AI actually moves the needle in your business — not where it's fashionable.

03Week 1

Scope & fixed quote

Clear deliverables and a fixed price, in writing, before anything gets built. You approve first.

04Day 21

Working version one

Not a mock-up — a working system you use on real work, then tell me what's off.

05Day 28

Final version, live

Your feedback goes in, the system goes live, and your team gets trained on it.

06Ongoing

A human on the phone

I don't build and bolt. Support keeps it working as your business changes — and when you ring, you get me.

Real builds, real results

What happened when they stopped doing it by hand.

Mentoring org

Funder reports were swallowing the week

Auckland, New Zealand

Before: spreadsheets everywhere, session notes typed up at night, funder reports assembled by hand every quarter.

The build: Poto AI — session notes, safeguarding flags and funder reports generated automatically.

15 hours of admin back every week — the AI grant writing has already paid for the system.
Sign & print

Quoting was happening after dark

Brisbane, Queensland

Before: the owner quoting at the kitchen table every night; calls missed during the day meant jobs lost.

The build: GetSignQuote — an AI phone agent that answers, qualifies and quotes while the team's on the tools.

Around 3 hours a day back. Quotes go out in minutes, not days.
NDIS provider

Six systems, one audit, constant stress

Brisbane, Queensland

Before: client management, HR, incidents, training, signing and budgets across six different tools.

The build: Titus CRM — one AI-powered platform for the lot, built inside an NDIS business.

One system instead of six. Now live in 11 organisations across AU & NZ.

Real clients in regulated sectors — names and references available on a call.

Proof I ship

Find the right platform.

Five live. One on the way. Every live platform started as a fix inside one of my own businesses — not a pitch deck. Type the job you're actually doing. Matching cards stay; the rest step aside.

6 platforms — five live, one coming soon.

NDIS · Aged care · Community

The ops and compliance stack for providers who are tired of six tools that don't talk to each other.

Who
NDIS providers, aged care operators and community organisations in Australia and New Zealand.
Fixes
Audit scramble. Rosters that ignore awards. Budgets you only see at month-end. Staff details living in a different login to the incident report.
  • Built inside a real NDIS provider before it was sold to anyone else
  • Live in 11 organisations across AU & NZ
  • Rent from A$169/week, or own the build for A$6,500 — no per-user fees
Funeral homes

LIFE-AI

Funeral home software for independents — first call through to the final invoice, without a corporate-group product.

For
The arrangement record, itemised quoting a family can actually read, a family portal, rostering, suppliers and staff-only chain of custody.
Who
Independent funeral directors — single-location and small multi-branch homes. Not corporate groups.
Fixes
Callbacks instead of answers. Quotes the family can't follow. Not knowing where each person in your care is, or who handled them.
  • QLD and NSW itemised pricing disclosure covered in full
  • A$99 + GST a week. Unlimited funeral cases and staff
Catering · Events

Cater2Me

Enquiries in, quotes out, and the menu, roster, run sheet and margins sitting on the same job.

For
A single inbox (website, email, SMS), quotes with a public customer link, menu catalogue, event planner and run sheets, roster and timesheets, margins and receipts.
Who
Caterers and event companies — drop-off, buffet, plated, weddings, corporate, venues that also run functions. Built in Australia; not a restaurant POS.
Fixes
Enquiries scattered across inboxes. Quotes that take all night. A run sheet that doesn't match what you actually quoted.
  • From A$99 + GST a week. 7 days free. One plan, no per-user fees, no lock-in
Sign · Print · Trades

GetSignQuote

AI quoting with Max on the phone — he answers, qualifies and quotes while you're on the tools.

For
Instant estimates from your pricing, a branded quote path, and an AI phone agent (Max) that covers the line when you can't pick up.
Who
Australian sign, print and trades businesses that lose jobs to slow quotes and missed calls.
Fixes
Quotes written at the kitchen table after dark. Turnaround measured in days. The call that went to the shop that actually answered.
  • Documented Brisbane sign-and-print result: about 3 hours a day back; quotes in minutes
Community mentoring

Poto AI

Programme management for mentoring organisations — the notes, the flags, the funder report, without the spreadsheet pile.

For
AI session notes, safeguarding flags, funder reports, grant writing and a compliance dashboard.
Who
Community mentoring organisations in New Zealand and Australia.
Fixes
Session notes typed up at night. Funder reports assembled the weekend they're due. Grant writing that never gets a clear run.
  • Documented Auckland result: 15 hours of admin back a week; grant writing paid for the system
Soon Coming soon

Roster Agent for Security Companies

Not live yet. Built for security operators — shift fill, award rates, no-show recovery — not a generic rostering app.

For
The roster pain security companies actually have: filling shifts, award rates, recovering from no-shows.
Who
Security companies. If you run NDIS or catering rosters, that's Titus or Cater2Me — this one is security.
Fixes
Nothing you can buy today. No public product URL until it ships. Register interest on a free call if you want in the first group.
  • Coming soon — same founder, same honesty when it ships

The advice column

Ask Yr Grandpa.

The questions every owner is quietly googling about AI — answered straight, by someone with skin in the game.

Where do I even start with AI in my business?

With one problem, not a platform. Pick the job that eats the most hours — quoting, phones, reports, compliance — and fix that first. That's exactly what my gap analysis does: a 15-minute call, then a map of where AI actually pays off in your business, before you spend a dollar on building anything.— Grandpa

How much does AI cost for a small business?

Less than doing nothing. Every build is scoped and quoted fixed-price before we start — you'll have a number in writing after the gap analysis. Then compare it to what admin already costs you: owners who adopt AI report getting four-plus hours a week back. Mine get more.— Grandpa

Will AI replace my staff?

No — and I'd know, I've employed over 900 people. AI done right takes the boring work off your people: the data entry, the after-hours quoting, the report writing. Your humans do the work that needs a human. I build to keep good staff, not to replace them.— Grandpa

Is my business data safe?

It has to be — I build for NDIS and aged care, where privacy isn't optional. On the call I'll walk you through exactly where your data lives, what the AI can see, and what it can't. Any vendor who can't answer that plainly? Walk away.— Grandpa

Is AI actually useful, or just hype?

Both are out there. The test is simple: does it remove hours from a job you already do every week? My clients got 15 hours a week back on admin and 3 hours a day back on quoting. And if AI can't genuinely fix your problem, I'll tell you on the first call.— Grandpa

Do I need technical staff?

No. I build it, install it, train your team, and support it. You run the business; the system quietly does the admin. That expertise gap you're worried about — that's the bit you're hiring me for.— Grandpa

How fast will I see a return?

You should feel the hours coming back within weeks of go-live — and because you get a working version at day 21, you're testing on real work before the build's even finished. If the hours aren't coming back, we fix the build, not the invoice.— Grandpa

How do I know an AI vendor is trustworthy?

Ask them what businesses they've run — not built for, run. Ask for a fixed quote in writing. And make sure there's a human you can ring when it matters. Here, that human is a grandfather in Brisbane — not a chatbot with a ticket queue.— Grandpa

The bloke behind it

Built from the inside out.

Gus Gale, founder of Ask Yr Grandpa, Brisbane
"I'm a grandfather, a father, and a husband. Before anything else, that's who I am."— Gus Gale, Brisbane

Over 20 years I've run businesses in NDIS, aged care, youth justice, residential care, community services, trades and labour hire — and employed more than 900 people along the way. I've been knocked down more times than I can count. Those knocks are exactly why my platforms work: every one of them fixes a problem that cost me real money, real sleep, or both.

My rule is simple: solve a real problem for the marketplace first — the profit follows. If AI can't genuinely fix your problem, I'll tell you on the first call and save us both the time.

The long answers

Everything else you're wondering.

The detail behind the short answers above — pricing, process, compliance, and who this actually suits.

What does Ask Yr Grandpa do?
Ask Yr Grandpa is an AI consultancy and product studio based in Brisbane, Australia, founded by Gus Gale after more than 20 years running businesses across NDIS, aged care, youth justice, residential care, community services, trades and labour hire. It builds custom AI for any Australian or New Zealand business, delivered in 28 days, and runs five live platforms: Titus CRM for NDIS, aged care and community providers; LIFE-AI, funeral home management software for independent funeral directors; Cater2Me for catering and events businesses; GetSignQuote for sign, print and trades businesses; and Poto AI for mentoring organisations. Roster Agent for security companies is coming soon. A custom AI Receptionist is still available as a scoped 28-day build if you miss calls — not as a sixth live SaaS listing. Every build starts with a free 15-minute call and a fixed quote in writing before work begins.
How long does a custom AI build take, and what does it cost?
28 days, start to live. It runs: free 15-minute call (day 0) → gap analysis (week 1) → scope and fixed quote you approve in writing (week 1) → first working version you test on real work (day 21) → final system live and your team trained (day 28) → ongoing human support. Build pricing is fixed-price and quoted individually after the gap analysis, so there's a number in writing before anything is built — no scope creep, no hidden fees, no lock-in. Advisory and consulting work beyond the free intro call is $299 +GST per hour, billed in 15-minute blocks.
How does AI help NDIS, aged care and community organisations?
It removes the administrative load these providers carry daily. For NDIS providers, Titus CRM automates progress notes, screens recruitment candidates around the clock, answers inbound calls through an AI receptionist, generates compliance reports, and tracks NDIS budgets against plan line items in real time — saving 15 or more hours a week in admin. For aged care providers, it streamlines rostering, incident reporting, staff credentialing and client management across multiple sites. For community organisations, AI handles programme reporting, participant tracking and funder acquittals. It also covers digital service agreement signing, stakeholder portal access, and a 13-module LMS for staff training — replacing up to six separate tools with one system.
How much does Titus CRM cost?
Two ways to buy. Rent it from $169/week on the Startup rate or $249/week on the standard rate. Or own the build outright for a one-off $6,500. Add-ons are priced separately — AI Brain $1,499, Unified Inbox $1,999, AI Voice Receptionist $399. All prices are plus GST. There are no per-user fees and no lock-in contracts, and every plan includes the full admin portal, the field staff mobile app and all core modules. 11 organisations are currently live on the platform across Australia and New Zealand.
Is Titus CRM compliant with NDIS audit requirements?
Yes. Titus CRM was built inside a real NDIS provider and designed against the NDIS Practice Standards from day one. It includes 18 QMS registers across five categories — Governance and Risk, Incidents and Safety, Complaints and Feedback, Workforce and Screening, and Participant Records — six of which auto-populate from operational data, cutting the manual compliance workload. It also handles incident reporting with automatic severity classification, staff credentialing with expiry alerts, AI-assisted progress notes, and NDIS budget tracking against plan line items. It was built for providers who need to pass audits, not just store data. There's also a free NDIS Service Agreement Builder any provider can use without an account.
Do you have software for funeral homes?
Yes — LIFE-AI, funeral home management software for independent funeral directors. One system covers the work from the first call to the final invoice: the arrangement record, itemised quoting the family can actually read, a family portal where relatives see the arrangement, the cost and the documents without ringing the office, rostering of staff, vehicles, chapels and celebrants with clash detection, suppliers with price lists and the margin on every line, and chain of custody so you always know where every person in your care is and who handled them. It is A$99 + GST a week for unlimited funeral cases and unlimited staff, with no per-user fees. Australian itemised pricing disclosure is built in, with Queensland and New South Wales covered in full — a home in another state or country gets a general disclosure its own director reviews against local law. Built for single-location and small multi-branch operators, not corporate groups.
Do you have software for catering and events?
Yes — Cater2Me, software for catering and events businesses. It collects enquiries (website, email, SMS) into one inbox, turns them into quotes a customer can open on a public link, and keeps the menu, roster, run sheet and margins with the job. From A$99 + GST a week, one plan, no per-user fees, 7 days free, no lock-in. Built in Australia; billing is in Australian dollars. It is not a restaurant POS.
Do you work with businesses outside the NDIS and community sector?
Yes. The roots are in community services, but the custom AI build works for any service-based business. Live platforms already cover catering and events (Cater2Me), sign, print and trades (GetSignQuote), funeral homes (LIFE-AI), and mentoring organisations (Poto AI). The custom build pipeline has delivered for trades, construction and professional services. If your business loses time to admin, manual quoting, repetitive workflows or compliance paperwork, those are exactly the problems AI fixes. The 28-day process is identical regardless of industry — retail, hospitality, professional services, labour hire, recruitment, construction.
Do you work with organisations outside Australia?
Yes. Poto AI serves mentoring organisations across New Zealand and Australia, and Titus CRM and custom AI builds are available to any service-based business in either country. English-speaking operators elsewhere can take the same video discovery call; quotes are in Australian dollars. Detail lives on AI consultant New Zealand, Auckland, and AI for small business (worldwide English). The studio is headquartered in Brisbane, Queensland and runs on Australian Eastern time.
Who is Gus Gale?
Gus Gale is a Brisbane-based founder and builder with over 20 years running businesses in NDIS disability support, aged care, youth justice, residential care, school mentoring, trades and labour hire — employing more than 900 staff along the way. He's been knocked down more times than he can count and rebuilt each time. He now channels that experience into five live platforms — Titus CRM, LIFE-AI, Cater2Me, GetSignQuote and Poto AI — plus Roster Agent for security companies (coming soon), a custom AI build service, and the lessons shared openly through Ask Yr Grandpa with no paywalls and no gatekeeping.
Is my business data safe with AI?
It has to be — these systems are built for NDIS and aged care providers, where privacy isn't optional. On the scoping call you'll get a plain walk-through of exactly where your data lives, what the AI can see, and what it can't, before anything is built. Australian and New Zealand privacy obligations are designed into the build, not bolted on afterwards. If any vendor can't answer that question plainly and in writing, walk away.
